Bespoke software or off-the-shelf? When each option is worth it
Bespoke software is worth it when your process is what sets you apart and no standard package reflects it; the standard package is worth it when your process is the same as any other company in your sector. The right question is not which is cheaper, but which one stops fighting you: most businesses lose more hours copying data between programs than money on licences.
When the standard package wins
Accounting, payroll, CRM, e-commerce: in these areas there are decades of maturity and thousands of companies using the same tools. Trying to rebuild accounting from scratch is throwing money away, because your way of keeping the books is not a competitive advantage: it is a standard.
The standard package, moreover, updates itself, has documentation, and the day an employee leaves there is another one who already knows it. That last point is worth more than it looks.
When bespoke software is worth it
Custom development makes sense when there is a process of your own that the standard cannot cover: an unusual production system, your own calculations, traceability a generic ERP does not store, a client portal built around your way of working. Those are the processes that genuinely set you apart, and that is why they pay off.
It is also worth it when you have already bent the standard package a thousand ways: support spreadsheets, manual workarounds to fill the gaps, three people on standby to copy data from one program to another. At that point, every update of the standard package breaks something.
The cost nobody looks at: integration
The licence fee is the visible part. The invisible part is what it costs when programs do not talk to each other: invoices re-entered by hand, orders arriving by email and retyped into the ERP, reports stitched together from three spreadsheets. That repetitive work costs more than any licence, and it makes mistakes.
Sometimes the best decision is not to change programs but to connect the ones you already have: a well-built integration between your ERP, your e-commerce and your logistics tool costs less than a migration and lets you work exactly as before, without copying anything.
An honest criterion for deciding
