The cost of IT maintenance for a company does not depend on the number of computers, but on what needs looking after behind them: servers, network, security, software, and the level of response the business needs when something breaks. The factors that really set the price
When a quote is requested, these are the elements that move the needle, in rough order:
- Servers and always-on systems: a monitored, updated server demands more care than a workstation
- Number of workstations and how they are used: an admin seat is not the same as a design seat handling large files
- Sites and geographic spread: two offices are more than one, and remote workers add more
- The agreed service level: responding in hours is not the same as in minutes, nor office hours the same as 24/7
- The weight of security: verified backups, email protection, monitoring; every layer is extra care
- Specialised software: an in-house or sector-specific application adds maintenance that a standard ERP does not
Hourly rate or monthly fee: what genuinely changes
Paying by the hour looks cheaper and almost never is. With hourly billing, the provider earns when something breaks, so their commercial interest is for you not to call to prevent, only to repair. With a monthly fee, the provider earns the same whether the month is quiet or full of faults, so their interest becomes making sure nothing breaks: monitoring, patching and prevention stop being someone else’s expense and become their job.
It is not a question of ethics, it is incentives. That is why subscription maintenance has become the standard model for serious providers.
The cost you can see, and the one you cannot
When comparing quotes, the easy part is looking at the monthly figure. The fair comparison is what it includes: are backups verified or merely run, is monitoring 24/7 or office hours only, is software patched or merely installed, and what happens outside working hours.
And there is the cost of having no maintenance: an afternoon without the invoicing system at month-end, or a ransomware attack without backups, costs more than years of fees. Maintenance is not an expense that justifies itself: it is the price of ordinary days staying ordinary.
How a serious quote is calculated
A serious quote starts with an inventory: what systems exist, where they are, who uses them and what happens if they stop. From that, the service level is set per component (critical items with fast response, peripheral items with margin) and the fee follows from there. Any figure given without that step is a guess, however confident it sounded on the phone.
Ask any provider what their fee includes and what they do when something breaks on a Saturday at eleven at night. The quality of that answer tells you more than the number.
